1. Head Of Department

  • Assistance of H.O.D in relevant works regarding office
  • Check & balance of overall equipment of H.O.D office like; wireless, Cameras, TV & system

  • Draft e-mails & prepare minutes & meeting as and when required

2. Attendance

  • Check attendance of Ali villa & project Security staff on weekly & Daily basis
  • Make summary of tags adjustment for project Security & Ali Villa after proper verification by checking through CCTV and confirmation of concerned supervisor
  • Manage Shifts as & when required
  • Post leaves after approval of concerned authority
  • Make roster for Sunday & overall gazette holidays of overall staff.

3. Internal Requisition & Purchase Requisition

  • Make IRs separately of each section as and when required
  • Make IRs on comprehensive PRs on monthly basis & forward to concerned dept
  • Keep record of IRs and items also coordinates with warehouse
  • Make Purchase Requisitions of all sections separately and process for approval from all concerned departments as per policy
  • Maintain bifurcate monthly record against comprehensive PRs, specially ZOO

4. Pre-hiring

  • Raise new hiring with proper justification and process for approval from all concerned departments
  • Raise replacements for left employee(s) with record.
  • Coordinates with HRD regarding above mentioned compliance

5. Gate Pass

  • Create Ali Villa vehicles gate pass with prior approval after concerned authority
  • Make outward gate pass of assets/equipment belong to contractor/Ali villa for outside of Ali Villa & Bahria Town Karachi

6. Inward gate pass

Make inward of overall things delivered by the vendors & maintain the record too

7. Vehicle Work Order

Raise work orders of overall vehicles at Ali Villa and maintain their record

  • Keep record of billing for work done from concerned showrooms

8. Miscellaneous Works

  • Make purchasing summaries on daily basis
  • Petty cash for miscellaneous expenses & personal loans
  • Keep the record of overall payments of department
  • Ensure the verification of works done by the private contractors through the concerned deployed officer of Bahria town
  • Keep the record of overall billings at Ali Villa
  • Maintain dossiers of overall employee(s) separately
