During this period I work in PC section, CEO Office, Admin section with following responsibilities:
· prepare tender for stationary, toners and miscellaneous items.
· To prepare tender for hiring services of IATA approved Travel Agency, fill online visa application forms of CEO.
· Processing of Advertising bills and also coordinate with advertising agency to prepare the advertisement.
· prepare of Diplomatic Enclave Entry letters and also initiate the cases of issuance and renewal of passport.
· To prepare noting of all legal matters/cases of AEDB Head office and Karachi offices as directed by DD (Admin/North). Also prepare the minutes of committee meeting of prequalification of legal firms.
· To prepare Verbal Note for Visa and issuance of invitation letters as per the direction of officer In-charge.
· To prepare the noting of hiring of office accommodation of AEDB Head Office. Tarlai store, Plants prepare contract with plants nursery.
· Scrutinize all transport sections files/bills, medical bills.
· To keep proper record of incoming and outgoing mail movements of files and letters.
· To process of noting of all kinds of bills (entertainment expenditure, newspapers, miscellaneous and other expenditures and overtime of AEDB employee for approval of the competent authority and also examine the bills and sign the sanction letters.
· Preparation of sanction letters and purchase orders for toners, stationary and miscellaneous expenditure.
· To process and coordinate with the concern for Protocol Passes and Diplomatic Enclave passes.
· To prepare Annual Procurement Plan.
· To prepare Ministry replies.
Any other duty assigned by Officer Incharge.
Keep record of all employees, maintain discipline, procurement of officer equipment, stationery and day to day item. Arrange and organize the conferences, press conference with CEO.
